Updates and Reminders

Robotic process automation and bot usage
Agencies must request approval before using robotic process automation, also called RPA or bots, in eOPF.
To request approval, agencies must submit both of the following to the eOPF Help Desk:
- a completed and signed Robotic Process Automation / Bot Request Form
- a complete Process Design Document
The eOPF Program Office and technical teams will review the request. If approved, the eOPF Program Manager will sign the form and notify the agency.
Agencies are responsible for maintaining their RPA or bot solutions. Agencies must also make sure their tools follow the eOPF Statement of Service and Rules of Behavior.
To access the bot request form, PDD, and related guidance, go to RPA / Bot Requests.
Browser settings for eOPF PDF documents
The eOPF Help Desk highlighted browser setting guidance for users who need to preview and print PDF documents in eOPF.
Agencies can share the Resource Center article Configure browsers to preview and print eOPF PDF documents with users who have trouble opening, previewing, or printing eOPF PDFs.
Training registration reminders
Agency POCs must submit training registration requests for their participants. Requests submitted directly by individual participants will not be processed.
When registering users, make sure the selected training matches each user’s role and responsibilities.
Visit eOPF Training Calendar and Courses for available trainings.
eOPF System Updates
SSN removal from the Employee ID field
The Employee Data Feed now automatically removes Social Security numbers from the Employee ID field on incoming submissions. This helps protect personally identifiable information by keeping SSNs out of reports and other system outputs.
A follow-on fix is in progress for a limited number of cases where SSNs may still be accepted.
Enhancements and product updates
Recent eOPF updates included:
- daily automated cleanup to remove duplicate employments and folders
- improved access template validation and support for future-dated employments
- automatic scrolling to document previews
- notifications when a duplicate transfer request is submitted
- standardized date formatting as MM/DD/YYYY
- expanded POID validation for EDF and FDF data feeds
Bug fixes
The eOPF team also shared several recent bug fixes, including fixes for:
- report access issues that showed results outside authorized permissions
- timeout errors during Agency-to-Agency transfers
- “Sorry, Something Went Wrong” errors on several screens
- transfer notifications showing incorrect agency names
- reprocessing failures caused by missing email addresses
- EDF logic related to role resets and incorrect termination processing
- duplicate future-dated employments created by EDF

Reporting and Search Resources
The meeting included a demo of eOPF reporting and search resources. Agencies were reminded that some reporting needs can be handled through self-service tools, while others require Help Desk support.
Helpful Resource Center articles include:
Personnel Records Request Survey
The eOPF PMO shared results from a survey about personnel records requests. The survey received 107 responses, with a 32.9% response rate.
The survey asked agencies about requests from:
- Former Employees seeking copies of their personnel records
- Current Employees requesting records because they do not have access to Government-Furnished Equipment
Results
| Former Employee Requests | Current Employee Requests (No GFE) | |
|---|---|---|
| Total requests | 6,101 | 2,087 |
| Average | 62.9 | 21.5 |
| Median | 5 | 0 |
| Minimum | 0 | 0 |
| Maximum | 3,000 | 1,300 |
What the survey results show
For Former Employee Requests, most respondents reported very low volumes; a few organizations reported exceptionally high volumes.
For Current Employee Requests, more than half of respondents reported zero requests.
Former employees requested records much more often than current employees without Government-Furnished Equipment.
-
Most agencies reported low numbers of requests. However, a few agencies reported very high numbers, which raised the overall averages.
Because of this, the median is a better way to understand what a typical agency experienced.
The agencies with very high request numbers may have larger employee populations or may handle requests through a centralized process.
Document Request Service
The Document Request Service is a secure, public-facing service that will allow separated federal employees to request their full eOPF Employment Folder without needing internal government network access or submitting a FOIA request.
The service is not a general public portal. It is designed only for individuals who are entitled to request their own records.
How the request process works
Users will sign in with Login.gov, confirm their email address, and submit their request through a simple web form.
When the request is fulfilled, the user will receive a password-protected ZIP file through a secure, time-limited download link. If the link expires, the user can submit a new request.
Production launch planned for late July 2026, subject to final readiness.
GPPA Navigator
The GPPA Navigator will be a public, searchable tool based on the Guide to Processing Personnel Actions. It will be designed to make GPPA guidance easier to find, use, and maintain.
Agencies will be able to use the GPPA Navigator to help find guidance for processing personnel actions.
Resource Center Feedback Survey
Agencies were asked to complete the eOPF Resource Center feedback survey. The survey includes 16 questions and takes about 5 minutes to complete.
The survey closes COB Wednesday, July 8, 2026.
