E-Series codes are placeholder agency subelement codes used to migrate folders from Legacy to Modernized eOPF when valid codes are missing. They must be manually replaced by HR Admin with valid codes to avoid issues like document loading failures and transfer problems. Replacement involves accessing the User Profile, editing employment details, and selecting the correct agency subelement code. Agencies may need to verify the correct code through communication with relevant Agency POCs.
What are E-Series Codes?
E-Series codes are agency sublement codes that start with E and contain a series of numerals, e.g. E021. E-Series codes are special codes designed to act in the absence of valid agency subelement codes. These codes were created to help migrate folders from Legacy eOPF to Modernized eOPF in May 2025. During data reviews, many folders were identified as having invalid agency subelement codes. Because these codes were invalid, even though the POID was valid, the folder would not migrate into the new system.
E-series codes were substituted for the invalid codes in the POID and agency subelement code configurations to allow folders to migrate from Legacy to Modernized. They did not automatically update to valid codes upon migration. E-series codes need to be confirmed and manually replaced by HR Admin.
Why E-Series Codes should be Replaced
E-series codes should be replaced with a valid agency subelement code when possible.
E-series codes (since they are essentially placeholders until a valid code can be determined) can cause the following issues:
- Documents will not load to a folder with an E-series code
- Folders will not transfer if either the Gaining agency or Losing agency folder has an E-series agency subelement code
- HR Professionals who do not have access to the POID and E-series code configuration will not be able to access the User Profile (HR Admin) or folder (other HR Professionals)
How to Replace an E-Series Code
HR Admin with access to the POID and agency subelement code configuration for the user's Profile have the ability to replace the E-series code for an employment row.
It is the agency’s responsibility to determine the valid agency subelement code with which to replace the E-series placeholder code. Determining the valid agency subelement code may take some research and communication with Agency POCs, e.g. for Army to verify an Air Force agency subelement code to go with a specific POID or to verify past employee employments, the Army HR Admin may need to contact an Air Force Agency POC.
Once the correct agency subelement code is identified, follow the steps below:
- Access the User Profile.
- Scroll to the Employment Account Information section.
- Click the Edit link to the right of the section.
- Re-select the POID for the row that contains the E-series code.
- Select the correct agency subelement code from the row's Agency Subelement dropdown.
- Click the blue Save button below the section.
