Agencies may encounter issues when an employee transfers between sub-agencies and the Employment Data Feed (EDF) does not properly end-date the previous employment record. This can result in multiple active employments, incorrect folder statuses, and processing errors.
Steps to Resolve
If the previous employment line shows “Transfer Confirmed” with no End Date:
- An HR Admin with access to the relevant Agency Subelement code and POID combination, of the transferred record, must update the folder status from Transfer Confirmed to Active.
If the previous employment line shows “Transfer Confirmed” with an End Date:
- An HR Admin with access to the Agency Subelement code and POID combination for both the Active and Transfer Confirmed records must:
- Update the folder status from Transfer Confirmed to Active.
- Remove the End Date from the record.
Consolidating Folders
Once an active employment and folder exist for the employee’s current position, you will need to manually consolidate the folders. To consolidate these folders, the additional folder will need to be transferred to NPRC and then requested back to the ACTIVE folder. If you do not have access to the additional folder for transfer, you will need to reach out to the custodial HR office to request they send the folder to NPRC so that you can request it from NPRC.
